Snoozing Emails with Microsoft Outlook

 

 

 

 

Recently, I started using Outlook (on Mac)’s Snooze this item feature more frequently. When a consult is scheduled for one of our firm attorneys, our team creates an event in Clio Manage, our practice management system. The email notification for that event contains a summary of the notes for the consult, and I often want to see those again before meeting with the client. So, I snooze the email until the day of the consult.

I know the information is in the calendar event itself and I could just look there on the day, but I use this as a daily briefing of sorts when reviewing my inbox at the start of the day. For better or worse, we spend a lot of time with email and this is a good way to be reminded of relevant information, when it is relevant.

Though I love keyboard shortcuts, I typically use the mouse to click the clock icon on the email. See the picture below.

Then, I’m presented with several options, or can “Choose a Date.” Many of the defaults are nice for those emails I can’t deal with right now, but want to handle before the end of the day.

If I Choose a Date, I can snooze the email to my chosen date and time. This is especially helpful for meetings that are several days (or weeks) away.

The email is removed from my inbox and I’m on to the next email. If I need to see the email again before it is re-delivered to me, I just go to the “Snoozed” subfolder.
